We now use Barracuda Email Protection to help fight malware, span and phishing received via email. In this article we will go over the steps used to manage your sender policies. If you're not able to complete these steps just using these written instructions, please reach out to us in the helpdesk and we will walk you thru them.
Short Version:
Once you receive your quarantine email you simply go to each line and choose one of the actions on the right side; deliver, allow list, or block list. When you click one of the options a new browser window will open. (If you're not signed in when you click an option, you'll be asked to do so the first time. Just click next to continue.) If you're successful a message willy display in the bottom left corner of the window showing that you were successful. Then close the window and go to the next entry on your list.
Long Version:
2. Managing the Quarantine using the Email.
4. Allowing or Blocking Emails
5. Fixing Emails you blocked or allowed by mistake.
- What should I do if I know an email was blocked and I don't want to wait.
In this article we will describe how you can manage your email that is caught in the quarantine using the daily Quarantine Notification, shown here:
The first step is to signing in. You can do that by clicking "Manage Quarantine" or any link in the email. And you will be presented with a login screen asking for your email, as shown below. Make sure you click Next to sign in.
You can also visit: http://login.barracudanetworks.com and enter your email manually.
Once signed in, return to the email to continue. You can close the browser window as it will open again as you work on your list.
NOTICE: Some folks have reported that he first time they try to sign in it doesn't work. You'll want to make sure you have successfully signed in. The real tell all is that if you're signed in you'll always see a comment box pop-up in the bottom left corner of the screen letting you know that you've successfully accomplished which ever task you're working on. Like the one shown here.
If you're not seeing this simply close the window and try again!
2. Managing Quarantine using the Email.
It's important that we all process the lists we receive. Primarily this is to make sure you're not missing important emails but also in doing so your lists will get smaller or disappear altogether.
Using the links in the email gives you greater control and quicker access to applying actions to the items in your quarantine. You'll find these actions on the right side of the list, with a set following each quarantined item. As shown here:
You just need to click any action to apply it to the email.
The Deliver option will deliver the quarantined email to your inbox without either adding it to the allow list or adding it to the blocked list. This is a great option if you are not 100% sure what you want to do with the email as it will still deliver he email to your inbox and you can review it. After reviewing you can return to the list and choose either 'Allow List' or 'Block List'.
4. Allowing or Blocking Emails!
At the end of the day we want to choose to Allow or Block emails. If for no other reason than to get them to not show up in the quarantine list so that you don't have to review them again.
The Allow List is a list of emails you want to receive every time they arrive without them getting stuck in the quarantine. These emails will be delivered directly to your inbox and future emails from this sender will also be delivered to your inbox.
When you click the "Allow List" you'll know it was successful when you see a pop up in the bottom left corner of the Barracuda portal that says it was allowed and sent for delivery, as shown here:
The Block List is a of emails that you do not want to receive, and you do not want them to go to the quarantine. These emails will be deleted and any future emails from this sender will also be deleted.
5. Fixing Emails you Allowed or Blocked by Mistake
If you make a mistake, you can easily fix it. All items added to the ALLOW or BLOCK list are listed under Settings->Sender Policy, which you access from the MENU icon in the top left corner of the Barracuda Email Protection portal, as shown here:
To get started click Menu and then click settings. And the the setting page click the 'SENDER POLICY' option on the top menu, as shown here:
On this page you can review any senders/emails that you've created a policy for and either remove them, by clicking the remove button to the right of that sender's entry. You can also add a sender, if you have their full email address by filing in the sender value, selecting the appropriate action, and hitting add.
1. What should I do if I know an email was blocked and I don't want to wait.
This is a great question, sometimes we need to get emails immediately and can't wait for the email to arrive the next day. In this situation you can use the 'Manage Quarantine' at the top of any of the previous email to view the quarantine list and deliver emails immediately.
And then, once the portal opens, in the top left corner click 'MENU' and then select 'Message Log' as shown here:
Once you click "Message Log' you'll see a list of the emails that have been quarantined. You can check the checkbox next to an email and then choose 'Deliver' in the top menu to have that item immediately delivered, as shown here:
It's important to note that deliverying an email does not add it to your allow list. You will still need to do that using the email or the Sender Policy page found at MENU->Settings.
