For all signatures, replace the placeholder text with your information. You may list up to three phone numbers of your choosing, all on the same line (eg. extension, direct, cell, or fax) each separated by a pipe symbol (|). 


Copy to your clipboard the signature in the attached file below that is appropriate to your department (the sales/marketing team should use the sales template).

Depending on which version of Outlook you're using, you'll now need to follow different directions.

1. Old Outlook

1.  Click 'File' on the tool bar of Outlook.


2. On the left menu that opens up, click "Options" at the very bottom.


3.  A menu with 'Outlook Options' will pop up. Select 'Mail' on the left-hand side.

4. Then, click on "Signatures..."

5. A box will pop up where you can edit, delete, and add a new signature. If you have no previous signatures, continue to the next step. If you have any previous signatures, delete them by clicking the signature, then clicking 'Delete'.

A notification asking you to confirm you want to delete will appear, click yes.


6. To create a new signature, click 'New', then name the signature 'Default'. Click 'OK' after you have named it.


7. Right click onto the large box underneath 'Edit Signature'. Click on the second icon for pasting that says 'Keep Source Formatting (K)'. 

This will paste in the template. Edit the information to be your personal information. Click 'Save'.


8. Select the drop down arrows in the 'Choose Default Signature' box. 

For both new messages and replies/forwards, set the default signature to 'Default'.

Click 'OK' at the bottom, then you are done!



2. New Outlook

1. Click 'View' at the very top of your Outlook tool bar.

Then, click 'View Settings'.


2. Your Outlook settings will open. Select 'Account', then 'Signatures'.



3. Under ' + New Signature', enter in 'Default'.  Hover over the large white box, then on your keyboard press "ctrl" and "v" at the same time. You must use the keyboard shortcut to paste the signature with the correct format. Once you enter in your information to the signature, click 'Save'.


4. After you have clicked save, click the drop down arrows in the 'default signatures' section.

Select 'Default' as the option for both, then click save again. Then you're done!
